Job Summary:
Our Client is seeking a highly organized and skilled Office Assistant to join their team. The ideal candidate will be responsible for efficiently managing administrative tasks, with a particular focus on contract advertisement, compiling bidding documents, and liaising with ministries and agencies. The candidate should possess exceptional organizational skills, attention to detail, and proficiency in ICT.

Responsibilities:
1. Monitor daily contract advertisements and compile necessary documentation for bidding processes.
2. Coordinate with various departments to gather required information for bidding documents.
3. Ensure all bidding documents are accurate, complete, and submitted within specified deadlines.
4. Develop and maintain professional relationships with ministries and agencies to facilitate smooth processing of contracts.
5. Provide administrative support to the office, including managing correspondence, scheduling appointments, and organizing meetings.
6. Maintain filing systems and databases, ensuring all records are up-to-date and easily accessible.
7. Assist in the preparation of reports, presentations, and other documents as required.
8. Handle incoming and outgoing communication, including emails, phone calls, and inquiries.
9. Assist in the coordination of office events and activities.
10. Stay updated on relevant regulations and procedures related to bidding and contract management.
11. Provide ICT support as needed, including troubleshooting basic technical issues and assisting with software applications.

Qualifications:
1. ND or Bachelor's degree in relevant field.
2. Minimum of 1-year experience as an office assistant or in a similar administrative role.
3. Familiarity with contract bidding processes and documentation requirements.
4. Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
5. Strong attention to detail and accuracy in document preparation and data entry.
6. Proficiency in Microsoft Office Suite and other relevant software applications.
7. Excellent communication and interpersonal skills.
8. Ability to work independently with minimal supervision.
9. Strong problem-solving skills and ability to adapt to changing priorities.
10. Knowledge of ICT fundamentals and willingness to learn new technologies.
11. Prior experience in a similar role within the government or public sector is an advantage.
